TAC Allstars team app

Privacy Policy

Effective October 22, 2026

This policy explains what information the TAC Allstars team app (the iPhone app, and the web version at app.teamfundraiserapp.com) collects, how it's used, who can see it, and the choices you have. The app is operated by Kevin Small on behalf of TAC Allstars ("we", "us").

Who the app is for

The app is for TAC Allstars families and team admins. It's invite-only: an admin has to invite you before you can create an account. It helps families sign up for volunteer concession shifts and keep track of what those shifts earn toward season fees.

Information we collect

Information you or an admin provide

  • Account details: your name, email address, and whether you're a parent or an admin. Parents are linked to their family (for example, "Garcia family").
  • Cheerleaders: the first names of the cheerleaders in your family, added by you or an admin.
  • Volunteer activity: the shifts you request, and whether you were confirmed, waitlisted, or worked them.
  • Money records: what your family earned from shifts, season fees, payments an admin records, and your balance and goal. This includes the venue's payout spreadsheet that admins import. The app only keeps track of these amounts. It does not process payments, and we never collect card or bank details.
  • Licenses: your TABC and Food Handler certificate details (type and expiration date) and the photo or PDF of the certificate you upload, so admins can confirm you can work shifts that require one.
  • Messages: messages you send to the admin team or in event group chats.
  • Profile photo: if you choose to add one.
  • Ask TAC questions: what you type to the built-in assistant.

Information collected automatically

  • Notification token: if you allow notifications, a device token so we can send you alerts (today, admins get alerts about items that need a decision).
  • Basic technical information: our hosting providers keep standard logs (such as IP address, device or browser type, and time of request) to run and secure the service.
  • Assistant usage counts: how many Ask TAC questions you asked each day, to enforce a daily limit.

What we don't collect

  • We don't track your location. When an admin saves an event address on a phone, the phone looks up that address's map position. Your own location isn't recorded.
  • We don't use advertising, ad tracking, or analytics tools, and we don't read your contacts.
  • Calendar access, if you allow it, is used only to add your shifts to your calendar on your device. We don't read your calendar.

How we use information

  • To run the volunteer program: posting shifts, handling sign-ups, waitlists and approvals, and confirming licenses.
  • To keep each family's earnings, fees and balance up to date.
  • To let families and admins message each other.
  • To send account emails (invites and sign-in codes) and notifications.
  • To answer Ask TAC questions using your team records.
  • To keep the app secure and working.

Who can see your information

  • You and your family: parents in a family can see that family's shifts, earnings, fees and balance.
  • Team admins can see team records needed to run the program, including all families' balances, sign-ups, licenses and messages sent to the admin team.
  • Other signed-in team members can see your name and profile photo, for example in chats. They can't see your email address, your family's money records, or your licenses.
  • Nobody who isn't signed in to the app can see team information.

We don't sell your information or share it for advertising.

Service providers

We use these companies to run the app. They handle information only to provide their service to us.

  • Supabase: database, file storage (certificates and profile photos), and sign-in.
  • Cloudflare: hosting for the website and the web version of the app.
  • Expo: building the app and delivering push notifications.
  • Apple: the App Store, TestFlight, and push notifications on iPhone.
  • Resend: sending account emails.
  • Google (Gemini): powers Ask TAC. When you ask a question, your question and the team records needed to answer it (limited to what you're allowed to see) are sent to Google to generate the answer. We don't save your Ask TAC conversations.

When you tap for directions, your maps app (Apple Maps or Google Maps) opens with the event's address. Their own privacy policies apply there.

Children's privacy

The app is meant for adults: parents and team admins. It isn't directed to children, and children don't have accounts. The only information about cheerleaders is their first name, entered by a parent or admin, so shifts and earnings can be tied to the right family.

Keeping and deleting information

You can delete your account at any time in the app: Account → Delete account for parents, or More → Delete account for admins.

  • Deleted with your account: your profile, profile photo, licenses and certificate files, notification tokens, chat memberships, and assistant usage counts.
  • Kept without your name: shift sign-ups, payouts, payments and messages you sent stay part of the team's records so the family and team totals stay accurate. These records show "Deleted user" instead of your name.
  • Family records: when a family leaves the team, admins archive it rather than delete it, so the team's financial history stays complete. Archived families can't sign in. To ask us to remove your family's records, email us. We'll do so unless we need to keep them for the team's financial records.

Security

Information is sent over encrypted connections, and the database enforces who can see what, so each person can only reach the records their role allows. Certificate files and profile photos are stored privately and shown only to signed-in team members with permission to see them. No system is perfectly secure, so please use a strong password and keep it to yourself.

Your choices

  • You can view your information in the app and ask an admin to correct it.
  • You can turn notifications, photo access and calendar access on or off in your phone's settings.
  • You can add, change or remove your profile photo at any time.
  • You can ask us for a copy of your information, or to correct or delete it, by emailing us.

Changes to this policy

If we change this policy, we'll update the date at the top. For significant changes, we'll let families know in the app or by email.
